Minutes of the Committee Meeting held on 3rd March 2000
at King Edward VII Hall, Newmarket

2. MINUTES OF LAST MEETING 21 January - approved.
3. MATTERS ARISING
- Mick Presland has had a response from English Nature which he will discuss with SMOC.
- Andrew Cordle expects to hear soon the result of our e-punching Lottery application.
- Short Races. SUFFOC will not be holding an event this year. Andrew Cordle agreed to liase with EA clubs over an agreed format. Experimental events/format this year
4. COUNCIL, BOF COMMITTEE & EA OFFICIALS' REPORTS
BOF Council report - Tim Eden
- BOF is likely to make a small surplus for 1999 (£8,000 or £28,000)
- Decision on funding expected soon from ESC (Sport England).
- Event levy - only EA opposed it. Council will monitor effect on numbers participating.
- Teresa Dudley recently appointed to the post of BOF Marketing Manager.
- Outline proposals for BOF four nation structure (including an EOA) to be put to the AGM.
BOF Technical Committee report - Andrew Cordle
- Comments wanted on Andrew Kelly's proposals for junior colour-coded & badge schemes.
BOF Fixtures Committee report - Roger Stenson
- Agreed that telephone numbers/e-mail addresses only to be available on EA Web Fixtures. Home addresses to be excluded.
- Clive Coles offered Rendlesham Forest, remapped, for 2002 CompassSport Cup final.
Finance report - Chris Morley
- All the club capitation fees for 2000 have now been received.
- A draft balance sheet for 1999 was tabled. This showed a larger surplus than the 1998 figures. The EA Junior Squad has not spent all its budget. Current year also looks OK.
Coaching report - Heather Sears
- Tim Eden welcomed Heather to her first EA meeting.
- Hilary Palmer will finally be stepping down as chairman of BOF Coaching Committee.
- EA Juniors are now doing well; coaches of other regions are noticing.
Junior Squad report - Colin West
- EAJS participation in NOC short races went well. Beacon Hill was also used for squad coaching on the Saturday before the Hawksmoor Badge event.
- In the future Champions Cup in Belgium Edmund Keller won M14 class, Suzy Robertson was 3rd in W16 and Helen Gardner 5th in W14.
- Next full squad coaching will be on the day before NE1 at Brown Clee.
5. EAST ANGLIAN EVENTS
EAGAL Events
- SUFFOC will be use Knettishall as their EAGAL event. All EAGALs are now in place.
- Tim Eden circulated EAGAL Trophies for 1998 to club representatives at the meeting.
- The meeting discussed EAGAL rules. Tim Eden will give Pat Bedder the committee's recommendations.
Junior Inter Regional Championships
- Lyn West reported that all was going well, with mapping substantially completed and preliminary course planning proceeding.
- Fred Northrop (WAOC) had agreed to help in laser printing maps and courses for both individual (NOR) and relay (WAOC) events.
- Mildenhall Upper School will provide floor space and meals and the PTA will hold a barbeque on the Saturday evening.
- a trial e-punching event is needed: hire from NWOA if the EA Lottery bid is not approved.
- EA members will be able run the individual courses after completion of the JIRC event.
EA Schools Championships
- Because of the new AGM date will clash with half term
British Championships 2003
- Peter Leverington had spoken to army officials & thought the army land at Stanford Area might well not be available at the time of the event.
- Tim Eden to speak to John Woodall (EMOA) about Stanford
- an Event Co-ordinator should be appointed
- need to consider alternative EA areas - N Norfolk?. Clubs expressed concerns that EA lacked areas suitable for a C1 event.
EA Championships Trophies to be given to winners at the AGM in June.
6. THETFORD LIAISON - David Butler
- WASH, WAOC & SOS have problems because final, definitive permission for events arrives very late. David Butler will contact Forest Enterprise and discuss the problem.
- David Butler will be standing down as FC Liaison Officer at the AGM.
7. COURSES
- Andrew Cordle said the Planners course would be held at High Lodge on 15 April.
- Peter Leverington has written to BOF Mapping Group about a mapping course in Nov.
8. REVISION OF THE EA CONSTITUTION
- The meeting discussed a number of outstanding points on the revision to the Constitution. Rachel Thomas (SMOC) will circulate a draft to EA committee members for confirmation.
- Need for someone to propose adoption of the amended Constitution to the AGM.
9. POINTS EAST
- Ursula Oxburgh will not be continuing as Editor after the AGM.
- Need a replacement editor and also a separate distribution manager.
10. ANY OTHER BUSINESS
- SUFFOC alone have supplied database details of current club members and addresses.
- Club membership lists will be needed for voting in June at the AGM.
- Peter Leverington will be away for the AGM and preceding weeks. Someone is needed to handle the procedures before and during the meeting
- The following posts will be vacant and need to be filled at the AGM meeting if the Association is to continue to function effectively.
